Always-On Occasion Reminders Playbook

Overview / Purpose

As the EA, you ensure the executive never misses a birthday, anniversary, or special occasion by maintaining a personalized, always-on milestones system. You:

  • Gather important dates across personal and professional relationships.
  • Maintain a centralized milestones calendar and Milestones Index.
  • Send timely reminders with context and suggestions.
  • Coordinate gifts and greetings end-to-end.

All actions and decisions are documented in the AI Tool/Project Management Tool (task + comments). You also integrate this work with the Centralize All of Your Contacts system so all occasions are tied to clean, updated contact data.

AI Copilot supports you in clarifying missing details, proposing reminder cadences, generating gift ideas, drafting greetings, and optimizing logistics.

Why this matters:

Remembering milestones builds trust, loyalty, and goodwill across both personal and professional networks. A reliable system removes mental load from the executive, reduces the risk of missed occasions, and creates consistent opportunities for thoughtful, well-timed gestures.

EXPECTED OUTCOMES

  • A reviewed and approved milestones calendar with clear reminder cadences.
  • Timely reminders and coordinated gifts/greetings aligned with preferences and budget.
  • All purchases, messages, and updates logged in the AI Tool/Project Management Tool for transparency.
  • Ongoing maintenance: new milestones added, outdated ones updated or removed, preferences refined.
  • AI Copilot regularly used for reminders, gift/greeting drafts, vendor suggestions, and troubleshooting.

When to Use / Scope

Use this playbook for all recurring and special dates the executive wants to honor, including:

  • Birthdays (family, friends, team members, key clients, VIP contacts).
  • Anniversaries (wedding, work anniversaries, company milestones).
  • Seasonal or cultural occasions (holidays, religious events, recurring celebrations).
  • Personal “meaningful dates” (e.g., sobriety anniversaries, big life events).

Pre-conditions

  • Executive confirms the types of occasions to track (personal, professional, or both).
  • Integration with the centralized contacts system is in place or underway.
  • Approved tools: calendar system (Google/Outlook), AI Tool/Project Management Tool, and gift vendors.
  • Budget tiers and approval rules defined (per contact type or relationship tier).

Client Feedback Template:

Hi [Client], I’ve managed your recent milestones (birthdays, anniversaries, key occasions) and updated your milestones calendar and index. Did the gifts and greetings feel aligned with your preferences? Would you like me to adjust gift types, budgets, or reminder timing going forward?

Success Indicators / Metrics

  • 100% of approved milestones captured in the calendar and verified at least quarterly.
  • Reminders sent at the agreed cadence (e.g., 30/14/7/1 days or customized by contact type).
  • Zero missed milestone events.
  • Gifts and greetings consistently delivered on time, with tracking confirmed where applicable.
  • Executive feedback confirms satisfaction with accuracy, thoughtfulness, and timeliness.

Best Practices, Tips & Pitfalls

Pro Moves

  • Present milestone options (gift ideas, actions) in comparison tables with direct vendor links.
  • Pre-book or pre-configure seasonal/annual gestures (e.g., same-day bouquet for certain birthdays, recurring subscriptions, annual charitable donations).
  • Build and maintain contact-specific preference logs (favorite brands, colors, experiences, sensitivities).
  • Create a dedicated “Occasions” section in your contact management system (or link directly to the Centralize All of Your Contacts task) for storing birthdays, anniversaries, and other key dates.
  • Add detailed notes to calendar events (gift type, vendor, last year’s gesture) for quick reference.
  • Rotate gift ideas to avoid repetition; keep gestures fresh, thoughtful, and relevant.

Top Mistakes to Avoid

  1. Missing milestones entirely → causes embarrassment and undermines trust.
  2. Ignoring lead times → results in rush orders, high costs, or late arrivals.
  3. Sending generic or vague reminders without context or suggestions.
  4. Repeating gifts or ignoring client feedback on preferences.
  5. Relying solely on automation without manually cross-checking data accuracy and relationship changes.

CLIENT FEEDBACK LOOP

After a significant milestone cycle (e.g., quarterly or after several important dates), send:

“Hi [Client], I’ve managed your recent milestones (birthdays, anniversaries, special occasions). All gifts and greetings were delivered on time, and upcoming events are already planned. Are the types of gestures and budgets aligned with your preferences, or would you like me to adjust gift types, budgets, or reminder timing going forward?”

Log all feedback in the AI Tool/Project Management Tool comments and update the Milestones Index and calendar entries accordingly, ensuring future occasions are even more aligned with the executive’s style and relationships.

Troubleshooting & Edge Cases

  • Stockouts or shipping delays:
    • Use backup vendors or switch to same-day local options (flowers, local bakery, digital gift cards).
  • International shipping:
    • Flag earlier and schedule gifts well in advance; consider digital gifts or local vendors in the recipient’s country.
  • Budget constraints:
    • Scale down to smaller but meaningful options (cards, digital gift cards, personalized emails) while staying thoughtful.
  • Client unavailable for approvals:
    • Follow preset default rules (e.g., “If <7 days from event and no reply, auto-send gift card from [vendor] at [budget tier].”).
  • Sensitive relationships:
    • Confirm which occasions should be skipped or handled more discreetly.
  • Multiple overlapping dates:
    • Prioritize VIPs with full gestures; use scaled gestures (e.g., messages only) for others.
  • Team/recurring client gifts:
    • Automate subscriptions or annual bulk orders where appropriate.
01
Initial Delegation & Documentation in AI Tool/Project Management Tool

    • Address / Contact Info
    • Preferences
    • Budget Tier
    • Vendor Recommendations
    • Reminder Cadence

02
Consolidate & Build Calendar
  1. Collect milestones from:
    • Executive’s memory/list.
    • Existing calendars.
    • Contact records and messages.
    • (If consented) public sources like LinkedIn for work anniversaries (mark as “unverified” until confirmed).
  2. Normalize dates:
    • Ensure correct day/month and note year/age when relevant and appropriate.
  3. Add milestones to the Milestones Index and then to the calendar with a clear naming format, e.g.:
    • “[Name] – Birthday (Gift: flowers, Budget: Medium)”
    • “[Company] – Partnership Anniversary (Gesture: handwritten note + bottle of wine)”.
  4. Include detailed event notes:
    • Address and contact info.
    • Preferences and last year’s gift.
    • Vendor suggestions and links.
    • Reminder cadence (multiple reminders attached to the event, or secondary reminders via AI Tool/Project Management Tool).
  5. Set reminders at the approved cadence (e.g., 30/14/7/1 days out).
  6. Post a summary in the AI Tool/Project Management Tool:
    • Links to the milestones calendar.
    • Link to the Milestones Index.
    • Short list of upcoming high-priority occasions for client review.
03
Client Feedback & Finalization
  1. Share a concise review list with the executive:
    • Who, what, when, proposed action (gift/greeting), and budget.
  2. Use AI Copilot to create a one-page summary highlighting:
    • Newly added or unverified dates.
    • High-budget gifts.
    • Items requiring explicit approval.
  3. Incorporate client feedback:
    • Adjust budgets, gift types, or opt-out of certain occasions.
    • Update preferences (e.g., “no gifts for colleagues, just emails”).
  4. Mark approved milestones as “Finalized” in the Milestones Index and calendar event notes.
04
Manage Reminders, Gifts & Greetings (Execution)
  1. At each reminder (starting from the earliest cadence), review the plan:
    • Confirm stock and lead times for gifts.
    • Double-check address/ship-to information.
  2. For gifts:
    • Order from approved vendors using the specified budget and type.
    • Save receipts, confirmation numbers, and tracking.
  3. For greetings:
    • Use AI Copilot to draft messages in the client’s tone (warm, professional, humorous, etc.).
    • Seek approval when required (especially for new or sensitive contacts).
    • Send via agreed channel (card service, email, SMS, Slack, WhatsApp, etc.).
  4. Document in the AI Tool/Project Management Tool:
    • Order placed (vendor, amount, date).
    • Greeting sent (channel, timestamp, copy used).
  5. Attach receipts and tracking links to:
    • The calendar event notes.
    • The Milestones Index (Delivered? Y/N + date).
  6. If issues arise (stockouts, shipping delays, vendor problems):
    • Propose alternatives (local florist, digital gift card, donation, or reschedule).
    • Confirm new plan with the executive if needed.
05
Ongoing Maintenance, Monitoring & Review
  1. Monthly sweep:
    • Add new contacts and occasions (from Centralize All of Your Contacts and recent events).
    • Remove or update outdated entries (e.g., changed roles, no longer relevant).
    • Verify addresses and vendor notes.
  2. 60–90 day lookahead:
    • Flag occasions with longer lead times (international shipping, custom items, events requiring booking).
  3. Quarterly optimization:
    • Summarize what worked and what didn’t (gift types, vendors, timing).
    • Update preferences (e.g., more experiences, fewer physical items).
    • Adjust budgets or cadences as requested.
  4. Use AI Copilot to:
    • Generate a summary of upcoming milestones and suggested actions.
    • Suggest new vendors or categories if patterns are stale.
  5. Ensure sensitive info (addresses, personal notes) is stored only in approved secure systems and referenced via links from the AI Tool/Project Management Tool, not duplicated unnecessarily.
